CORE RESPONSIBILITES

  • Manage and control documentation according to the schedule ensuring mínimal impact to the order.
  • Work with order and project teams during proposal and execution to define documentation requirements including; deliverable recommendations, timeline for submittals and deviations and clarifications.
  • Utilize DocPro or equivalent for all documentation tasks including planning, managing, tracking, submittal, storage and generating status reports.
  • Gather required documentation for the order including delegating tasks and working cooperatively with internal teams.
  • Responsible for document submission, managing customer responses and submission of revisions.
  • Participate in KOM and other internal/ external meetings representing the documentation needs and risks.
  • Provide ongoing communication and support to the Order and/or Project Manager and project and/or order teams, including providing documentation status and updates on any risks.
  • Provide preliminary & final documentation that accurately meets customer requirements and ensures the highest quality standards of deliverables are maintained.
  • Update and provide documents/ reports as needed by the MSOL organization to monitor and control the orders; including project/order plan, schedule, risk register, performance metrics and other documents as needed.
  • Act as an escalation point for documentation related matters for internal and/or external customers.
  • Work closely with the Order/Project Manager and the project/order teams to resolve any delivery or invoice disputes.
  • Proactively support the Order/Project Manager in improving quality and performance of the team.
  • Act as interface between the factory, drawing team and project/order team in all documentation related matters.
  • Liaising with supply chain and or 3rd party suppliers to ensure correct documentation requirements are met and delivered on time.
  • Participate in training and other learning opportunities to increase understanding and knowledge of Measurement Solutions products and their documentation offering.
  • Assist with training and or coaching of new documentation controllers.

SPECIFIC TASK - Specific tasks completed by the DC, additional duties may be added as applicable.

  • Set up and maintain documentation and profiles in DocPro or equivalent.
  • Submit requirements for Custom Cover Sheets to DocPro Admin team.
  • Fill out customer nonstandard records (Non EMR docs e.g. SDI, Instrument tag list, etc.).
  • Review customer SDI or equivalent and identify documentation requirements (type, format, copies) and compare against factory standard.
  • Calculate documentation/ service cost and fills out document/service quote form as part of proposal.
  • Provide documentation submittal schedule to the OM/PM to be included on the overall order/project schedule.
  • Gather, consolidate and or expedite documentation from the factories or other resources.
  • Generate new or revised proposal for documentation.
  • Update standard document with required customer information (when purchased) and Emerson availability.
  • Request drawings from drafting team and verifies drawings according to SO.
  • Provide information to drawing team regarding decal (customer template).
  • Organize, prepare, update and submit (electronic or hard copy) all documentation including: technical passports, data books and drawings based on given customer guidelines (when purchased) and Emerson standards.
  • Encode documentation using standard Measurement Solutions templates; store and organize documents to team repository.
  • Generate table of contents, cover sheets or other supporting forms to prepare documentation for submission.
  • Perform quality checks and completeness of customer data and documentation requirements.
  • Create and implement a strategy for each order to comply with customer requirements.
  • Provide support on invoice disputes around documentation.
  • Monitor and control documentation backlog and alerts the Order/Project Manager and/or Admin on changes and late documentation.
  • Attend internal Kickoff meetings.
  • Attend status meetings and provide status updates to customers on documentation progress.
  • Identifies documentation risks and mitigations strategies to Order/Project Manager.
  • Participates and/or leads in Lessons Learned meetings or reviews.
  • Create, update and monitor tasks in CRM/ EDDR/ DocPro.
  • Provides own work estimates and can negotiate turnaround time within the team.
  • Follow up and expedite reviewed and commented documents from the customer.
  • Upload final documentation in OCM (storage platform).
  • Upload documentation on customer specific online platforms.
  • Provides continuous improvement concepts and participates in quality reviews.

KNOWLEDGE AND EXPERIENCE

  • Minimum 2 years in documentation (customer support functions
- preferred but not mandatory).

  • Proficient with Microsoft Office (Excel, Word Paint, Power Point, Publisher, Outlook, Adobe Acrobat Pro).
