- Serving as a primary point of contact and liaison between the executive and internal/external stakeholders, including senior leaders, staff members, clients, and partners. This may involve drafting communications, preparing presentations, and representing the executive in meetings or events.
- Assisting the executive in managing their schedule, priorities, and commitments. This may include organizing meetings, coordinating travel arrangements, and preparing briefing materials.
- Manage information flow to and from the executive, including emails, documents, and requests for meetings or information. This may also involve filtering and prioritizing incoming communications and delegating tasks as appropriate.
- Oversee multiple busy calendars, proactively resolving conflicts and ensuring optimal time management for the executive's priorities.
- Provide analysis, recommendations, and advice to the executive to support decision-making processes. This can involve synthesizing complex information, conducting risk assessments, and identifying opportunities for improvement.
- Efficiently handle a high volume of expenses with precision and timeliness.
- Coordinate meeting logistics, including audio/video conferencing setup and catering arrangements remotely.
- Oversee key projects and initiatives on behalf of the executive, ensuring they stay on track, meet deadlines, and achieve objectives. This can involve coordinating cross-functional teams, managing resources, and resolving issues as they arise.
- Stay updated on policy and technology developments.
- Demonstrate exceptional multitasking and prioritization skills.
- Exhibit flexibility in schedule while prioritizing work-life balance.
- 5-7 years of experience being an Executive Assistant.
- Excellent English communication (written & verbal) and interpersonal skills, C1 Level required.
- Proficiency Outlook, Teams, Zoom, PPT, Word, Excel.
- Outstanding ability to execute reliably by solving problems proactively and prioritizing time and tasks.
- Attention to detail, especially as it relates to handling calendars and travel.
- Resilience to navigate competing priorities and constant change during busy periods.
- Understanding each day's priorities so you can be strategic about how you respond to calls, emails, and meeting requests.
- True enjoyment from helping others and building a strong office culture.
- Bachelor's degree in administration or any related field.
