Job Description

The Executive Assistant role will be responsible for providing advanced, diversified and confidential administrative support to the President, Agility Solutions business at our Corporate headquarters based in San Jose, CA .

  • Here is a glimpse of what you’ll do:

  • Prioritizes, schedules and maintains calendar of appointments, meetings and travel itineraries, and coordinates related arrangements.
  • Composes and may initiate routine or non-routine correspondence and memoranda.
  • Compose communication on behalf of the President when required.
  • Handles details of a highly confidential and critical nature. 
  • Prepares presentation materials, including those for board of director meetings.
  • Makes high-level contacts of a sensitive nature inside and outside the company with customers, vendors, visitors & other dignitaries.
  • Collects and prepares information for use in discussions/meetings of executive staff and outside individuals.
  • Screens telephone calls and visitors and resolves routine and complex inquiries.
  • Conducts research, and compiles and types statistical reports.
  • Maintains key distribution and contact lists.
  • Handles administrative functions including corporate credit card budget, expense processing and monitoring, ordering and maintaining supplies/equipment.
  • Operates a personal computer and applies advanced skills in using appropriate software packages.
  • Assists in the planning and execution of logistics for company meetings, special events, and other promotional events.
  • Assists in food and beverage selection as well as makes arrangements for audio-visual, transportation and other services.
  • Keeps track of all expenses and assists in conducting reconciliation and preparing reports on activities costs.
  • Responds to inquiries received through phone, mail and/or face-to-face contact with customers and prospects about the company’s products and services by according to standard scripts and procedures.
  • May provide administrative support to groups/departments reporting to the executive.
  • Here is some of what you’ll need (required):

  • Requires advanced understanding of Workday
  • Requires advanced understanding of Excel, including pivot tables and graph charts as well as Microsoft Word and PowerPoint.
  • Good multitasking skills
  • Willing to work with multiple time zones
  • A good understanding of the business and its complex levels of approvals throughout the organization
  • The ability to make educated decisions based on the expectations of the President.
  • The ability to identify issues and independently find adequate solutions.
  • The ability to deal with problems involving several concrete variables in standardized situations.
  • Collaboration between executive assistant, and all rock functions for the organization
  • Strong written and verbal skills
  • Strong proactiveness and positive attitude
  • Able to enforce standards and policies on behalf of the President and the corporation
  • Self-confidence and willingness to lead when necessary
  • Independent learner
