The Opportunity

We are seeking an Executive Assistant to support Digital Media's VP of Finance and Business Operations and the Digital Media Business Operations Team. The ideal candidate will have an extreme attention to detail as well as the ability to multi-task and juggle priorities. Core to the role is scheduling and maintaining staff Outlook calendars, as well as the Digital Media Business’ operating Outlook calendar. Key responsibilities for the department include managing Staff meetings, organizing department communications and key events, handling diverse administrative tasks, coordinating special projects, assisting direct staff and others in the department as needed - further details outlined below. Role will be based out of our San Jose office.

What you'll Do

  • Heavy Outlook Calendar and meeting management / scheduling

  • Coordinate closely with Digital Media business operations leader and team on the business calendar, and own Digital Media inbox

  • Work seamlessly across Adobe on behalf of your executive by collaborating with Senior and other Executive Assistants to provide coordinated support to your leader & the Digital Media business / calendar

  • Book meeting logistics, conference rooms, presentation equipment, and catering as applicable

  • Manage All Hands Logistics including communication to organization, meeting invite, coordinating with IT & external speakers, and driving and compiling shared PowerPoint presentation

  • Support Finance and Operations team events, quarter end catering, team volunteer activities, offsites. Prepare quarter end earnings call booklet for manager

  • Coordinate new hire logistics for Digital Media’s Finance organization, working with Facilities team when needed for seating requirements

  • Provide travel planning support for both domestic and international travel. Process business expense reimbursement requests, invoices and PO handling

  • Requirements

  • Bachelor's Degree or equivalent work experience

  • Minimum of 8-10 years of experience as Executive Assistant

  • Reliable and accessible. Available in the office during normal working hours and out of hours, as needed

  • Use utmost discretion when dealing with sensitive and confidential material

  • Highly proficient in Microsoft Outlook – email and calendaring

  • Proficient with Microsoft Office (Word, Excel, PowerPoint) and useful if have knowledge of Trello project management tool
