ROLE RESPONSIBILITIES

  • Provide administrative support to Field Medical Colleagues, including complex calendar management, travel and expense reports.
  • Provide administrative support to the full medical team 68 medical directors including meeting, travel, and expense reports. Schedule and coordinate team meetings, 1:1's, department meetings, as needed some meeting management/logistics.
  • Ability to anticipate and proactively resolve conflicts and use diplomacy to resolve problems.
  • Provide administrative support to US Field Medical Colleagues, including calendar, travel and expense report support, meetings
  • Provide support for various medical team meetings, attend as requested, agenda development and distribution, meeting material coordination and distribution, presentations/Teams Meeting management during meeting, notetaking, and meeting summary distribuion.
  • Work closely with outside vendors, providing support when needed with meeting scheduling and office space.
  • Manage Purchase Orders thru the Ariba system, also tracking payment of invoices as requested
  • Lead or support different medical optional projects and initiatives
  • Handle confidential matters on a regular basis.
  • Coordinate and provide key information to other business units as requested, and as appropriate.
  • Manage document resources on SharePoint site.
  • Support project management and KOL engagement
  • Assist with onboarding of new colleagues
  • Update team organizational charts and distribution lists
  • Coordinate activities for complex meeting and events including ordering food and AV equipment, managing/settup AV equipment onsite, and handling issues for offsite meetings.
  • Work closely with administrative assistants with regard to coverage within the group; facilitate the overseeing of the Assistants and manage workflow.

BASIC QUALIFICATIONS

  • Bachelor's degree and/or 4 to 6 years of experience preferred.
  • Possess advanced

Microsoft Office Skills:
Outlook, Excel, and PowerPoint. MS Teams, Microsoft Access and SharePoint website management knowledge preferred.

  • Exhibit excellent problem solving skills, consistently demonstrating resourcefulness and perseverance through ambiguous situations.
  • Will take initiative and demonstrate a positive, enthusiastic attitude.
  • Should poses strong organizational, interpersonal, communication (written and oral), and project management skills, as well as, sensitivity for handling confidential information.
  • Demonstrate ability to manage multiple tasks and deadlines independent of direct supervision, and work collaboratively in a matrix organization.
  • Highly flexible, motivated individual with ability to work independently and in team settings.
  • Demonstrate efficiency and accuracy in all administrative functions.
