The Facilities Coordinator manages the day-to-day client activities for the assigned property / facility and is the on-site key point of contact for key stakeholders and/or client.

The role assumes overall responsibility for the building maintenance and operations, contract services, budget, third party vendor management, purchasing of material, equipment & supplies and on-going relationship with the property owner (landlord) to ensure compliance with applicable service level agreements and Key performance indicators.

The position will ensures that the portfolio operates in consistency with Regional programs and company/client policies and/or standard operational procedures.

It will also be accountable to work with the client to resolve complex key risks, issues and concerns; advise on remediation, mitigation strategies and act as point of contact for client audits, testing and assessments.


Key Responsibilities and Accountabilities includes:

Governance

Provide adequate supervision of Tier One Vendor management and staff to drive effective and efficient third party partnerships to fulfill Business operations needs while implementing an annual performance based evaluation process.

Develop and implement plans for continuous process improvement, cost reduction and efficiency, innovation and benchmarking.

Fully support Client's initiatives in an effective and efficient fashion to drive operational excellence and meet Client's Real State and Facilities leadership principles.

Challenge and improve all aspects of cost and performance of the business.

Measure and track vendor performance against pre-defined set of success criteria and contract obligations utilizing metrics and KPIs where applicable.

Operations
Assure an operation & maintenance plans implementation related to the electromechanical systems at the site level. This shall include preventive and corrective maintenance services but also soft services like cafeteria, janitorial, front desk.

Guarantee services requested by occupants and visitors related to AC, Lighting and electrical are provided, complying with the response times defined on the Response Priority Matrix.

Assure an integrated pest management plan for the site.

Develop a program to conduct and/or coordinate periodic inspections to ensure the space experience is consistent, and common areas are tidy and safe.

Innovation, Benchmarking, & Cost Savings
Provide, evaluate, and continually reassess ideas, processes and procedures; benchmarking current performance to global, regional and/or local best practices.
Continuously identify ways in which service can be improved and value for money can be enhanced. Communicate innovations and cost savings ideas to the FM.
Develop, seek approvals, and implement plans for continuous process improvement, cost reduction and efficiency.

People

Leads the adoption of the "one team approach" inspiring the overall Site FM Team to deliver a seamless service to the client's occupants.

Develop and sustain a high quality well motivated teams supporting the Country FM to deploy talent/people strategies and programs.

Client Relationship Management

Act as primary point of contact with the Site leadership and an integrated team member working alongside other members of the team to achieve the objectives.

Stay tune with Client's Rhythm of Business ("ROB") as the foundation for enabling the flow of information, setting expectations among stakeholders and driving Client's global objectives.

Work in partnership with the Client to fully understand business objectives, short, mid and long term vision to define projects, programs, initiatives, client-facing activities, budget requirements and/or change management strategy.

Maintain effective relationships between all parties, including but are not limited to Client's employees, service areas, and other suppliers.

Asset Management & Capital Planning
Implement, track and monitors the plan for assets life cycle management and maintenance services.
Develop a priority-based, portfolio wide capital renewal program to document existing building deficiencies, conditions and replacement costs.

The program should cover the entire building envelope and infrastructure, including mechanical, electric equipment, and architectural finishes (interior & exterior).


Requirements:


Academic Background:

Degree in Mechanical/Electrical/Industrial Engineering, Business Management or related fields.


Experience:

3+ years of Facilities Management experience including managing hard services in corporate offices.


Desirable:
experience working with regional multinational, Hospitality field or technology companies.

Working knowledge and/or technical experience in critical systems like Air-conditioning, Chiller system, Fire Protection system, Mechanical & Electrical system, BMS system among others.
